I'm worried about unplugging my filter and cooler and adding filter material. The thing is this: I've connected the cooler to the filter. Like so:

My HH Expert's Choice external filter sucks the water from the tank IN.
It then transfers the filtered water to the IN tube of the Hailea 1/4 PH chiller it is connected to through its OUT tube.
The chiller's OUT tube then shoots the chilled and filtered water back in the tank.

The filter has a lever with which you shut off water flow for both IN and OUT at the same time. It also has a big heavy button to pump water through the hoses with to get it running, but that button needs an elephant to stand on it. Very heavy.

Considering there's water in all 4 tubes and the water here heats up really quickly, I hate the thought of unplugging this stuff just to add a bag of this black superfilterthingystuff. But filter maintenance has to be done anyway.

So how would you suggest I proceed? Just pull the lever and shut off flow to the filter? Unplug both? My worries are:
-I managed to set the chiller's temperature ONCE, and not ever after that. I'm afraid it might lose the setting once unplugged, though the temperature had been set before purchase and remembered once I turned it on at home. Still wary...
-it was such a PAIN to get the filter to work, the water wouldn't flow until I've pressed myself silly on that heavy pumping button.
-it's very hot here so water can heat up in a matter of minutes
-can I be sure no flooding occurs after pulling the lever and shutting off flow?

I'm sure it's all very simple but I feel overwhelmed

Forgive me if I am wrong, but it seems to be really simple... :p

Take the tube that currently is sucking the water into the filter... And use it to suck the water in to the chiller.

Now you have your chiller running correctly by itself, and it will be OK to fiddle with the filter for as long as you like...

On a second note, you mentioned "that black stuff"... Are you using carbon as one of the filters cleaning methods? I have read its not great for the Axolotls, and you can skip that step... If this is the case, I can find the thread and let you read, and decide for yourself :D
